Privacy Statement for the University of Galway ‘PG Advice’ Campaign 2026

The University of Galway (the “University”) fully respects your right to privacy and takes every appropriate measure to secure the privacy of any information shared with the University. University of Galway is the Data Controller of your personal data unless otherwise stated. The University acknowledges that such processing of Personal Data and Special Categories of Personal Data must meet the requirements of applicable Irish and European data protection legislation. Data Protection is the safeguarding of the privacy rights of individuals in relation to the processing of Personal and Special Categories of Personal Data. The Act, the Irish Data Protection Bill 2018 and the General Data Protection Regulation 2016 confer rights on individuals as well as responsibilities on persons and organisations processing personal data. 

How we collect your personal data

The data we collect from you as part of the 2026 ‘PG Advice’ Campaign will be used by the University only in accordance with the purposes outlined in this privacy notice. We will collect your data in the following manner:

  • A Meta Instant Forms feature (as part of a Meta Leads campaign for University of Galway) is completed by the prospective student.
  • The data is subject to Meta’s Privacy Statement (as set out in the advert).
  • The data you submit in the Meta Instant Forms is downloaded from Meta by the University and subject to this Privacy Statement (as set out in the advert).

  • Preferred Course(s)/Discipline(s) of Study

How we use the data collected

The ‘PG Advice’ campaign offers prospective studies the opportunity to register to speak to a course/postgrad advisor in the University’s J.E. Cairnes School of Business or the School of Law.

The data we collect from you via the Meta Instant Forms feature will be used to communicate with you on university offerings related to the course(s)/discipline(s) you identified as of interest to you. Your contact information may be used to communicate with you by phone, SMS, Whatsapp or email in order for the course/postgrad advisor to respond to your request for more information.

All data volunteered in the Meta Instant Form is treated as confidential in accordance with applicable Irish data protection legislation and with the General Data Protection Regulation 2016. The data shall only be used for the purpose set out in the advert/form; to provide an opportunity to discuss postgraduate opportunities in law or business with a course/postgrad advisor.

The nature of the follow up communication with prospective students who complete the Meta Instant Form in this campaign, is contained in the campaign’s Service Level Agreement which is available upon request.

How we store and secure your data

Any data we collect from you will be stored confidentially and securely as required by the University Information Security Policy. The University is committed to ensuring all accesses to, uses of, and processing of University data is performed in a secure manner.

In keeping with the data protection principles we will only store your data for as long as is necessary. For the purposes of this campaign, we will store your personal data up three months after the close of registrations for the next postgraduate intake (next postgraduate intake is September 2026).

The data will be stored on secure University systems and access will be limited to the teams in the J.E. Cairnes School of Business and the School of Law responsible for responding to your postgraduate query. In cases where your query relates to another discipline or service in the University (e.g. the Fees Office), your data may be shared with other University of Galway units in order to fully respond to your queries.

The data will not be shared with any third party.

The data will not be stored outside of the EEA.

Your rights:
