Here's some important information every user needs to know about the university's Web Content Management System: 'T4 Site Manager':
Preparing to use the CMS
You need to stop your browser from trying to help you out (which just gets in the way when you're using online editors) - this step will save you a whole lot of pain!
That's why it's the first thing you do in the on-demand training course.
It's really important that you take this training before you log in with your own username and password.
It's only 3 hours long - and it is broken into small chunks, so you don’t need to free up 3hrs to take it. You can spread it over a number of days.
But please don’t skip any parts - you'll need them all. To avoid confusion, you should watch the training videos in the order in which they appear.
The CMS is confusing and can appear to behave oddly until you're shown how to use it (even for web professionals) - but once you've been shown, it's easy.
This training course anticipates and counteracts many pitfalls that new users encounter.
And it is designed so that you can refresh your memory, at any time, by re-watching specific segments.
Once you've completed this training, you'll find all the other resources in this self-help website extremely useful.
The first time you log in (with your own username)
The CMS is an online tool, so you simply browse to it.
But you don't have access to the CMS automatically - you have to request it first.
The first time you log into t4 Site Manager, you’ll get to a welcome page.
There will be a link to the ‘Site Structure’ on that page.
The site structure is the starting point for all your site editing tasks.
You will have logged in with an intial password, provided by ISS. You'll need to change this to something only you know.

Navigating and Editing your Site
In t4’s Site Structure, you’ll see a section that has the name of your site. E.g. : University of Galway » Research sites » My Research Site
This contains your home page content. Once you have approved content in it, it will publish to https://universityofgalway.ie/your-sites-folder-name/.
If there is a + symbol, to the left of your home page’s name, you can click on it to see the t4 sections that correspond to the other pages in your website.
The + will turn into a - symbol when all your other pages appear. Click on this to hide the site's other pages and collapse your site down to a single section in the site structure.
Being able to collapse sites down to 1 line is necessary for power users and administrators, most of whom can see every website on the CMS.
But for most moderators, who have access to 1 or 2 sites, there is no + symbol for your homepage and your website's other pages are always visible.
You can add new content (or edit existing content) in any of your site’s sections.
Note: You must 'Add & Approve' or else 'Update & Approve' your edits to save and approve them to go live. 
Images and Files
Each site has its own sub-category in Site Manager’s media library.
This is where you add images / documents that your website will use / link to.
You can view and use anyone else’s images/documents but to add your own, you must first find and click into your own category, on the left hand side of the media library.
You'll know you can add items when you see 
on the top left.
Auto-publishing
At the top of every hour, any changes that you have updated and approved, in the last hour, will begin publishing to the live web servers. This process takes approximately 30 mins to complete.
Media items (i.e. images and documents) that have been added to the media library don’t get published to the web server until there is an approved piece of content, on your site, that uses or links to that media item.
Every section in Site Manager has a corresponding live webpage. But Site Manager will not publish empty pages. So there must be at least 1 piece of approved content in a section before its webpage will go live.
Linking
When you link to another University of Galway page, you create a ‘section link’, where you select the section in the CMS that corresponds to the page you want to link to.
Site Manager won’t publish links to unpublished pages: So even if you create a section link, the hyperlink won’t actually appear on your webpage (or the page preview) until the section (page) you’re linking to has some approved content in it.
