External (E) account

Available to users on campus who have a legitimate requirement for access to ICT resources and are not a Registered Student or Current/Retired Staff member.

  • Staff: An E account cannot be provided to staff waiting to receive a Staff ID number. For new staff, including for agency workers, please refer to advice for new starters
  • Students can not be provided with E accounts. All students, including temporary visiting students from other institutions (such as via Erasmus), must be recorded in the University of Galway Student Registration System. For student registration queries, please contact the Student Registry Helpdesk.

 

An E account provides access to:

  • eduroam (WiFi Network)
  • General PC Suites
  • University of Galway email account (Microsoft 365)
  • Canvas Account

 

Unless the End date is specified, the default duration is to the end of an academic year (29th July). The end date cannot be longer than 12 months, at which point it should be renewed.

To request an account, the Head of School or Unit should log on to the Service Desk Ticketing System and create a ticket under the following category.  Request E account

Please provide all the requested information. Note: In the absence of the Head of School or Unit, a University of Galway Staff member can log the ticket with an approval email from the Head of School or Unit.

Please note the following regarding External (E) accounts:

  • It is the responsibility of the Head of School or Unit to notify ISS when an External (E) Account is no longer required.
  • External (E) Accounts may be reopened should the user be redeployed within the University of Galway.
  • External (E) Accounts remain accessible up to the End Date supplied on the E Account ticket - they should be renewed annually if required on or before the disable date of 29th July.
  • An External (E) Account is only for users who are not on / or going on to the University of Galway CoreHR system.
  • Students can not be provided with E accounts.   • The External (E) Account ID & Email Address remain with the User should they return or be re-deployed within the University of Galway.

Renewal and extension of E accounts

The Head of School or Unit authorisation is required to renew or extend an E account. Please log a ticket through the Service Desk Ticketing System under the following request type:

Within the ticket please attach the authorisation email from the Head of School or Unit.
